The Role
In this role you will work directly with, and provide support to, management at all levels of the company and frequently share best practices as well. This role ensures timely and accurate payments, compliance with company policies and procedures, and proper recording of transactions in the accounting system. In this role, you frequently will be called upon to provide backup support for members of the FI/FBOT IWMS Admin Team. You will be asked to prioritize multiple tasks simultaneously and serve as the focal point of a multifaceted, fast-paced business environment. Additional responsibilities are listed below:
Resolve any discrepancies or issues with expense reports and invoices, communicating with employees, vendors, and managers as needed
Enter expense report data in the concur expense reporting system ensuring proper coding of expenses
Enter invoices into the Ariba accounting system, ensuring allocation of costs to proper GL codes
Prepare and process payments to employees and vendors, either by check or electronic transfer
Reconcile expense report and invoice accounts, identifying and correcting any errors or discrepancies
Maintain and update expense report and invoice records, files, and reports, following company policies and procedures
Perform other duties as assigned by the Manager to assist the Admin Team
The Expertise & Skills You Bring
Bachelor’s degree is strongly preferred, but not required
Experience in expense report and invoice processing, accounts payable, or related field
This position requires a broad understanding of company/functional policies and practices
Effectively work in a high volume, face-pace environment, managing multiple priorities
Detail-oriented, proactive, and possess strong organizational skills
Self-starter with a strong sense of ownership who has the initiative to proactively identify and resolve problems and know when to seek clarification or assistance
Proficient in Microsoft Office, especially Excel, and Concur accounting software
Attention to detail, accuracy, and quality
Ability to work independently and as part of a team
Excellent communication, interpersonal, and customer service skills
Ability to handle confidential and sensitive information
Flexible and willing to adapt to different work styles, preferences, and frequently changing priorities
